Meeting Agenda Builder

March 28, 2026

The Meeting Agenda Builder creates a structured, time-boxed agenda that transforms unfocused meetings into productive sessions with clear outcomes. It assigns owners to each item, specifies desired outcomes, and includes pre-meeting preparation requirements.

Managers, team leads, project managers, and anyone who runs recurring meetings use this template. It is especially effective for weekly team syncs, project kickoffs, stakeholder reviews, and cross-functional planning sessions. It also works well for preparing board meetings or client presentations where every minute counts.

The prompt produces better agendas than most people write manually because it enforces outcome-oriented thinking (every item must have a desired outcome, not just a topic), includes realistic time allocations, and adds a "parking lot" section for off-topic items. The pre-meeting checklist ensures participants arrive prepared, which is the single biggest factor in meeting productivity.

The Prompt

Build a meeting agenda for the following:

**Meeting Type**: [TYPE, e.g., "Weekly team sync", "Project kickoff", "Quarterly business review"]
**Meeting Duration**: [DURATION, e.g., "45 minutes"]
**Number of Participants**: [NUMBER AND ROLES, e.g., "6 people: 1 PM, 2 engineers, 1 designer, 1 QA lead, 1 engineering manager"]
**Meeting Goal**: [WHAT THIS MEETING SHOULD ACCOMPLISH, e.g., "Align on sprint priorities and unblock the two stalled tickets"]
**Topics to Cover**:
```
[LIST THE ITEMS YOU NEED TO DISCUSS, e.g.,
- Sprint progress update
- Blocked ticket: payment integration timeout issue
- Blocked ticket: design review for new onboarding flow
- Upcoming deadline: March 15 release
- New hire onboarding plan]
```

Generate a structured agenda with:

### Pre-Meeting Checklist
- What participants should read, review, or prepare before the meeting (be specific: link to docs, dashboards, or tickets)
- Estimated preparation time

### Agenda

| Time | Duration | Topic | Owner | Desired Outcome |
|------|----------|-------|-------|-----------------|
| 0:00 | X min | ... | Name/Role | Specific outcome |

Requirements:
- Start with a brief check-in or context-setting item (2-3 min max)
- Allocate time proportional to each topic's importance and complexity
- Every item must have an owner (the person responsible for driving that discussion)
- Every item must have a desired outcome: "Decision on X", "Alignment on Y", "Action items for Z"
- Include 5 minutes at the end for action item summary and next steps
- Total time must not exceed the meeting duration
- If topics exceed available time, flag which items to defer and suggest an async alternative

### Parking Lot
A section for off-topic items that come up during the meeting. Suggest how to handle them (async Slack thread, separate meeting, email follow-up).

### Post-Meeting Template
A brief template for meeting notes:
- Date, attendees
- Key decisions made
- Action items (what, who, by when)
- Items deferred to next meeting

Usage Tips

  • Be specific about the meeting goal: "Align on sprint priorities" is much better than "Team sync". A clear goal lets the AI allocate time to what matters most.
  • List more topics than you think you need: If there are too many for the time slot, the AI will prioritize and suggest deferring lower-priority items. This is more valuable than a perfectly fitting agenda.
  • Include participant roles: Knowing that the engineering manager is in the room changes which topics get flagged as "decision" vs. "discussion" items.
  • Adapt the post-meeting template: Copy the action items format into your actual meeting notes. The consistency of tracking "what, who, by when" dramatically improves follow-through.
